Summary: This document contains the FAQ for Verio's Email Defense Solution.
For your convenience, any additions or changes to this FAQ that have been made since the Creation Date of this document have been marked accordingly (e.g. Added 8/2).
This FAQ provides information about the future release of the Verio Email Defense Solution.
Q Who is supplying this solution?
A: The Verio Email Defense Solution is provided by a third party vendor, who will be announced at a later time.
Q: How does the Verio Email Defense Solution determine what messages are Spam?
A: Using a complicated set of formulas, the Verio Email Defense Solution checks message headers, subject lines, and email message text to determine if the message has known Spam characteristics. Based on the results of these checks, the email message is either denied or delivered to the recipient email address.
Q: Do I need to modify the systems settings to determine how my Spam settings will work?
A: No. VERIO controls all Spam detection settings. All you need to do is set your choice of delivery options for all email with a Medium Probability of being Spam. This setting is found in your Control Panel and described below.
Q: What is the difference between the filtering done at the Verio Email Defense Solution platform and the filtering done at the Control Panel level?
A: All email is first scanned at the Verio Email Defense Solution platform. Based on the results of the scanned email, a threshold level is assigned to the email message. The threshold levels are “High Probability” and “Medium Probability” that an email message is Spam. All email with a High Probability of being Spam is rejected. Any email with a Medium Probability of being Spam is delivered to the intended recipient. There are options provided to you within the Control Panel's Configure Email Tool regarding what to do with all email with a Medium Probability of being Spam. More information is contained within the next question.
Q: What Spam settings are available in the Control Panel's Configure E-mail tool?
A: You have the ability to modify the delivery options for all email with a Medium Probability of being Spam at the domain level, not the individual email user level. The options are:
-Enable Spam Filtering: This feature enables you to specify the delivery options for all email with a Medium Probability of being Spam. Once enabled, you can either deny the email delivery entirely or you can request that the Verio Email Defense Solution append the word [SPAM] to the subject line of the email and then deliver the email to the intended recipient.
-Disable Spam Filtering: Disabling Spam filtering ensures that the Verio Email Defense Solution deliver all email with a Medium Probability of being Spam to the intended recipient, without appending the word [SPAM] to the subject line.
Q: How will Spam filtering be set up when I purchase an account? How about my existing account?
A: For all new accounts provisioned after the implementation of the Verio Email Defense Solution, the default Spam filtering settings are enabled and set to append the word [SPAM] to the subject line for all email with a Medium Probability of being Spam. For all existing accounts, the account was migrated into the Verio Email Defense Solution with the same default settings.
Q: How are Spam messages marked?
A: Any email that has been identified with a Medium Probability of being Spam has the subject line appended with the word [SPAM].
Q: What happens to email messages after VERIO determines them to be Spam?
A: If VERIO determines an email message to be a High Probability of being Spam, the delivery of that message is denied immediately. All email with a Medium Probability of being Spam is handled based on your Control Panel settings. These Control Panel settings are covered below.
Q: How do I handle Spam messages that are delivered to me?
A: Any email messages that may have been delivered to you that have the word [SPAM] appended to the subject line can be filtered off using your email client (like Outlook, Outlook Express, etc..) Filtering at the email client level can be accomplished using email rules that can be defined within your preferred email client.
Q: Can I set up Spam filtering for individual email accounts?
A: No. Spam filtering is set at the domain name level. All individual email accounts are protected identically.
Q: How do I set my Spam filtering options?
A: Follow these steps:
1. From the Control Panel (http://forexample-domain.com/stats/), select Configure Email.
2. From the Configure Email window select Spam Filtering.
3. From the Spam Filtering window, select Enable Spam Filtering and Mark as [Spam] and deliver.
4. Click [Change].
5. The Configure Email window refreshes with a confirmation message that your changes have been saved. The system will take 10 minutes to update the change.
Messages evaluated as Spam are marked in the subject line as [SPAM] and are delivered according to the customer's delivery options.
Q: Can I change my Spam filtering options?
A: Yes. Just access the Configure E-mail tool again and make the changes you want.
Q: If I do not use the VERIO email servers, can I set up Spam filtering using the Configure E-mail Tool?
A: No. The Verio Email Defense Solution requires that your domain name use the default email services provided by VERIO. The Verio Email Defense Solution checks to see if your domain name's MX records (MX stands for Mail Exchange, which defines what email server(s) process email for your domain name) match the default MX records supported by the Verio Email Defense Solution before it displays the Configure E-mail Tool Spam filtering options.
If your MX records are not supported within the Verio Email Defense Solution, such as your own in-house or non-Verio email server, the Configure E-mail Tools displays a message informing you that you must reset your MX records to our default MX records if you want to utilize our Verio Email Defense Solution.
Q: Do you scan outbound messages for Spam as well? (Added 12/29/05)
A: Yes.
Q: Why are some valid email messages being denied? (Added 9/21/04)
A: Of the millions of messages handled by our mail servers each day, there is a small percentage (less than 1%) of legitimate email that is not accepted by our system. These emails, known as false positives, are due to their email subject line, email body, or headers having characteristics of Spam email.
Q: What can I do to make sure I receive all valid email messages? (Added 8/2/04)
A: You can add them to your whitelist. See the help documentation on your Email Defense Solution for more information.
Q: Is white listing available? (Added 9/21/04)
A: Yes.
Q: Can I opt out of this Verio Email Defense Solution service?
A: No. All email is scanned for Spam, however, you may disable delivery options for any email with a Medium Probability of being Spam.
